1. Getting Started
The Westemeier Invitational Golf App is the central place to create your account, register for the tournament, complete payment, check in on tournament day, enter scores, follow leaderboards, view course information, upload media, and keep up with tournament updates.
Create an Account
- Open the app in your browser or installed app.
- From the sign-in screen, select Create one.
- Enter your first name, last name, email address, phone number, password, and password confirmation. Phone numbers must include at least 10 digits, and passwords must include at least 6 characters.
- Optionally select Add my name and contact info to the family contact directory. This shares your name, email, and phone number on the signed-in family website contacts page.
- Select Create an account. The app signs you in and opens the dashboard.
Sign In
- Open the app.
- Enter your email address and password, or choose Google sign-in if that is how you created the account.
- Select Sign In or complete the Google sign-in prompt.
After signing in, you will land on the dashboard overview for the current tournament.
2. Dashboard and Navigation
The Overview page is your main dashboard home. Use it as the starting point for registration, payment, check-in, scorecards, tournament details, and help.
Main Navigation Areas
Tournament
Overview, Leaderboard, Tournament Roster, and Photo Gallery.
Sponsorships
Hole Sponsors for all 18 holes.
Course
Course Info, Yardage Map, and Player Map.
On Website
Gallery, Our Story, Archives, FAQ, Contact, and Survey open the related public website page in a new tab. The app attempts to carry your sign-in with you.
Account
Profile, preferences, and account details.
Mobile Navigation
On smaller screens, the bottom bar provides Home, Scores, Score, Roster, and More. More opens the full navigation menu. The Score shortcut opens a page that directs you back to Overview, where the live scorecard appears after tournament-day check-in.
Quick Menu and Account Menu
The header quick menu contains Notifications, Tournament Chat, the light/dark Theme control, Help Tour, and an install option when supported. Use your profile image beside it to open Profile, return to the Dashboard, or Logout.
Keyboard and Role-Specific Navigation
When you are not typing in a field, press ? to see keyboard shortcuts. Available shortcuts include H for Overview, L for Leaderboard, R for Roster, C for Course Info, M for Player Map, G for Gallery, and P for Profile. Users with additional permissions also see Clubhouse or Administration links; those tools are hidden from ordinary player accounts.
3. Overview
The Overview page is the dashboard home for the tournament. It changes based on the tournament schedule, your registration, your payment state, and whether it is tournament day.
What You May See
- Registration not open yet: The page shows the configured opening date and time.
- Not registered: You can start registration when registration is open.
- Registered but unpaid: You can complete payment from the tournament information card.
- Registered by a teammate (payment needed): If another player added you to their team, a red Payment needed banner appears with a Pay Now button. Your spot is reserved, but your entry is still due — pay it yourself (and you can add a Swings with Kids donation at checkout).
- Paid and tournament day: You can check in once check-in opens.
- Checked in and tournament day: Your scorecard appears when you are eligible to score.
- Tournament concluded: The app shows concluded tournament messaging after the event has passed.
User Guide Shortcut
A shortcut to this user guide appears near the top of the Overview page so players can quickly review registration, payment, scoring, map, and troubleshooting instructions without hunting through navigation.
Tournament Info Card
The tournament info card shows the current event, registration and payment status, flight, tee time, team or pairing, cart assignment, and available actions such as Join Tournament, Complete Payment, or Check In Now. Unassigned details appear as TBD.
Photos, Videos, and AI Golf Pro
The Overview page also includes tournament photo and video uploads for the active tournament, plus the AI Golf Pro assistant. The assistant can use your question, yardage, lie, pin position, golfer type, current weather, and optional hole map data to provide strategy guidance.
4. Registration and Payments
Registration is available from the Overview page when the tournament is open for signups.
Registration Types
Individual Stroke Play
Register yourself for the individual scoring pool. Your scores are tracked separately from team play.
4-Person Best Shot
Register for team play. You can add up to three teammates as app users or guests. You pay for yourself and any guests who are not marked self-pay. App users and self-pay guests reserve their spot and pay their own entry later. Groups smaller than four are matched with other golfers before the event.
Spectator
Register to attend without playing. Spectator registrations do not receive scorecards and cannot include additional players.
Adding Guests and Guest Passes
- For each guest, enter a name and optionally an email address. You can send the pass to yourself or to the guest; sending it to the guest requires an email address.
- Leave Guest pays their own entry off to include that guest in your checkout. Turn it on to reserve the guest's spot without charging their entry to you.
- A self-pay guest uses the 8-character guest-pass code or link to pay their entry, optionally add ceremony picnic passes and a Swings with Kids donation, and open tournament-day access.
- After registering guests, open Tournament Roster to review pass status, reveal a pass, or resend it. A redeemed pass cannot be resent.
- Admins can give a manually entered golfer their own temporary dashboard access from Admin > View Golfers. Select QR pass, then download or share the golfer-specific QR code. Use Print all QR passes to arrange up to six scan-friendly passes on each letter-size sheet automatically. These use the same tournament-day activation and expiration window as every other guest pass, and generating a replacement revokes the earlier unredeemed code.
Picnic Add-On
If the picnic option is available, enter the total number of ceremony picnic passes you want. You can buy as many as needed for yourself, family members, and other non-golfing guests; they do not need golfer registrations. App-user teammates and self-pay guests can also choose their own quantity when paying.
Hole Sponsorship Add-On
If you want to sponsor a hole, choose Add a family hole sponsorship? during registration. Sponsorship payment and logo details are included in the same checkout as tournament registration and picnic passes.
- Choose whether the sponsor is a new sponsor or a returning sponsor. The app shows the configured price for each option.
- Enter the business, family, or sponsor name that should appear with the sponsorship.
- Upload a PNG, JPG, WebP, or GIF logo now, or choose Upload Later if you do not have it ready.
- A high-quality logo will look best. Sponsor logo uploads can be up to 20 MB.
Payment Options
- Online Payment: Review the registration summary, then use the secure Stripe checkout. Entry fees, picnic passes, a family hole sponsorship, and an optional Swings with Kids donation can be paid together. After payment, the registration is finalized in the app.
- Cash or Check: Your registration and any selected sponsorship are recorded with payment pending. Follow the instructions shown in the form; a tournament committee member must mark the balance paid after receiving payment.
Completing Payment Later
If you registered but still owe payment, return to the Overview page and choose Complete Payment from the tournament information card. If a teammate added your app account, use Pay Now on the red Payment needed banner. Your play type is locked to the team registration, and you can add picnic passes and an optional Swings with Kids donation before paying. Self-pay guests complete the equivalent flow from their guest-pass link.
5. Tournament Day
Check-In
On tournament day, paid players can check in from the Overview page. Check-in opens at 5:00 AM on the event date and remains available through the event day.
- Open the Overview page.
- Confirm your registration shows as paid.
- Select Check In Now when the check-in action appears.
- Wait for confirmation that your check-in was recorded.
Scorecard Access
- Individual Stroke Play: You receive an individual scorecard.
- 4-Person Best Shot: Your team shares one team scorecard. Any team member can enter scores after every team member is checked in.
- Pending team assignment: Best-shot players who are not assigned to a team yet will not have a team scorecard. Contact an organizer.
- Spectator: Spectator registrations do not receive a scorecard.
Entering Scores
- Open Overview after checking in. The live scorecard appears there during the tournament-day scoring window.
- The card begins at your assigned starting hole and advances through the course in playing order. Select a hole from the score summary or use the previous and next controls.
- Enter the score for that hole. Scores from 1 through 15 are accepted.
- Confirm the score for the hole.
- Continue until all 18 holes are complete.
- Submit the final scorecard after reviewing all holes.
Each confirmed hole score is immediately locked and updates the private live flight calculation. During play, golfers see only the current top three names in each score-based flight; numeric scores, stroke gaps, and holes played remain hidden. After all 18 holes are entered, the card changes to Ready to Submit. Final submission locks the full scorecard.
6. Leaderboard
The live leaderboard separates best-shot teams and individual golfers, divides each pool into the configured number of score-based flights, and also shows configured hole-event results.
Leaderboard Tabs
- Best Shot: Shows the top three best-shot team names in each current flight.
- Individual: Shows the top three individual golfer names in each current flight.
- Hole Events: Shows configured contests such as closest to the pin, longest drive, longest putt, or other hole events.
How Results Are Organized
- Teams and individuals are ranked separately by score, then divided as evenly as possible into the number of flights set by the tournament administrator.
- Flight boundaries are fixed positional bands. For example, 15 teams in three flights produce positions 1–5, 6–10, and 11–15.
- Regular players see only the top three names and positions in each flight. Numeric scores, stroke gaps, holes played, and lower positions are intentionally hidden during play.
- Tournament administrators retain the detailed score view needed for corrections, exports, ties, and payouts.
- Hole Events may show a phone-measured distance for fun, but the physical stake and notepad remain the official source of truth.
Filters, Export, and Print
Use Filters to show all flights or one flight, and use the print button for a printer-friendly copy. Detailed score export is available only to tournament administrators.
Refreshing Results
The leaderboard updates in real time as hole scores are confirmed and cards are submitted. If your connection was interrupted and the standings look stale, refresh the page or reopen Leaderboard.
7. Roster, Course Tools, and Maps
Tournament Roster
The roster shows registered golfers, teams, flights, tee times, carts, check-in state, and pending team assignments when available. Use the Teams, Individual Play, and All Golfers tabs. If you registered guests, the page also shows their guest-pass status and controls for revealing or resending a pass.
Course Info
Course Info shows directions to Irv Warren Memorial Golf Course, current weather and the next hours, hole-by-hole yardage, par, and full-course totals. Yardages may vary with tee placement and conditions.
Yardage Map
The Yardage Map starts each movable white ball at the blue tee while the flag remains fixed on the green. Drag a ball to your current position to update its displayed distance to the flag. Use Reset to return every ball to its starting tee.
Player Map
The Player Map is visible to signed-in, registered participants and shows locations when participants opt in. Select Share My Location, allow the browser location prompt, and keep the app open while sharing. Search for a player to focus the map. The status board may show accuracy, heading, speed, check-in state, and live, stale, or offline status when available.
8. Gallery and Media Uploads
The dashboard Photo Gallery includes tournament albums and current-tournament media. A separate Gallery item under On Website opens the public gallery website. You must be signed in to browse dashboard albums; active-tournament uploads and media require a player or spectator registration, unless you are an admin.
Viewing Albums
- Open Photo Gallery from the dashboard navigation.
- Select an album or external gallery link to view tournament photos.
- Selecting an album opens it on the gallery website in a separate browser tab and attempts to carry your app sign-in with you.
Uploading Media
- Open the Overview page, then find Tournament Photos & Videos. You can also open the dashboard Gallery page.
- Choose Take Photo, Record Video, or Choose Files when upload controls are available.
- Select supported image or video files from your device. Each file must be 50 MB or smaller. Uploading starts after you select files.
- Wait for the upload confirmation before closing the app or switching networks.
9. Sponsors, Story, FAQ, and Contact
Hole Sponsors
The in-app Hole Sponsors page lists all 18 holes and displays separate family and business sponsor details when provided. Users who add a family hole sponsorship during registration can upload a logo during checkout or mark it for later upload.
Our Story
Selecting Our Story under On Website opens the public story page in a new tab.
Archives
Selecting Archives under On Website opens public tournament archives and past results in a new tab.
FAQ
Selecting FAQ under On Website opens the public frequently asked questions page. An in-app FAQ is also available from the Overview quick links.
Contact
Selecting Contact under On Website opens public contact information in a new tab. Use it for registration, payment, scoring corrections, account issues, or general tournament questions. To report an app bug, email Westemeier.Invitational@gmail.com.
Survey
Selecting Survey under On Website opens the public tournament survey in a new tab when feedback is being collected.
10. Alerts and App Install
In-App Notifications
Open the header quick menu and select Notifications to see the latest 20 tournament updates, reminders, and account messages. Selecting an unread message marks it read; use Mark all read to clear the unread state for every loaded message.
Push Notifications
When supported by your browser or installed app, you may see an Enable Tournament Alerts prompt after signing in. Enable alerts to receive weather, schedule, scorecard, and tournament updates on that device. If you choose Not Now, you can continue without push alerts and the app may ask again after seven days. Browser notification permission can also be changed in device or browser settings.
Notification Preferences
Open Profile to turn push on or off for the current phone or browser and choose optional categories such as announcements, registration, scores, weather, tee times, surveys, and gallery updates. Required registration, payment, check-in, team-assignment, and scorecard notices always remain enabled.
Tournament Chat
Open the quick menu and select Tournament Chat to read or send messages for the current tournament. Messages are visible to signed-in golfers and are limited to 500 characters.
Popup Announcements
If an announcement appears when you open the app, read it and use Next or Got It to continue.
Installing the App
The app can be installed from the header quick menu or a supported browser install prompt. On iPhone or iPad, use your browser's Add to Home Screen action. If you dismiss the app's install prompt with Remind Later, it can return after seven days.
11. Profile and Account
Your Profile page contains your account information and user preferences.
Profile Details
- Edit your first name, last name, and phone number. Your sign-in email is shown but cannot be changed from the Profile page.
- First name and last name are required. Phone numbers must include at least 10 digits.
- Upload or change your profile photo if you want other players and organizers to recognize you more easily.
- Opt in or out of the signed-in family contact directory.
Preferences
The Profile page includes notification-category and device push controls. The header quick menu contains the light/dark theme setting, which is saved on the device.
Photo Privacy
If the gallery has associated your name with face-recognition groups, use Remove my photo tagging data to unlink your name. The photos remain visible, and a gallery admin can restore the association later.
Deleting Your Account
Delete Account permanently removes your app profile and signs you out. This action cannot be undone. Removing photo tagging data is a separate action.
Signing Out
Select your profile image in the header, then choose Logout, especially when using a shared device.
12. Troubleshooting
I Cannot Sign In
- Confirm you are using the correct email address.
- Use the password reset link from the sign-in page.
- Check your spam or junk folder for the reset email.
I Cannot Register
- Registration may not have reached its configured opening date and time.
- Your form may be missing required player or guest information.
- If sending a guest pass directly to a guest, enter a valid guest email address.
- A family hole sponsorship requires a rate, sponsor name, and either a logo or Upload Later.
- Spectator registrations cannot include additional players.
Payment Did Not Update
- Wait a moment and refresh the Overview page.
- Check whether you selected online payment or cash/check.
- For cash/check, payment remains pending until staff marks it paid.
- If an online payment was completed but still does not show, contact the tournament committee.
I Do Not See My Scorecard
- The live scorecard appears on Overview from 5:00 AM through the end of the event day for eligible checked-in players.
- Individual stroke-play golfers receive individual scorecards.
- Best-shot players need a team assignment, and every team member must check in before score entry unlocks.
- Spectators do not receive scorecards.
The Leaderboard Looks Wrong
- Make sure you are viewing the correct tab: Best Shot, Individual, or Hole Events.
- Check whether a flight filter is active.
- Only the top three names in each current flight are shown to players; scores and stroke gaps are intentionally private during play.
- Refresh the page to load the latest score updates.
- Staff corrections may change the displayed results.
Gallery Uploads Are Failing
- Check your network connection.
- Confirm you are signed in and registered as a player or spectator for the active tournament.
- Allow camera or file permissions when your device asks.
- Confirm each file is a supported image or video and is no larger than 50 MB.
- Try uploading fewer files at once if the upload is large.
A Guest Pass Is Not Working
- Guest passes use an 8-character code. Reopen the pass link or enter the code exactly as provided.
- A self-pay guest must complete entry payment before tournament access opens.
- Some paid passes remain pending until their tournament-day activation time.
- The person who registered the guest can review, reveal, or resend an unredeemed pass from Tournament Roster.
My Profile Reminder Will Not Clear
- Open Profile from the account area.
- Make sure first name, last name, email, and phone number are filled in.
- Phone numbers need at least 10 digits. Formatting such as spaces, dashes, or parentheses is okay.
- Save the profile, then refresh if the reminder is still visible.
Player Map Location Sharing Is Not Working
- Confirm you are signed in and registered for the active tournament.
- Allow location permission when your browser asks.
- Keep the app open while sharing so your device can continue sending updates.
- If your marker looks stale or offline, stop sharing and start again after checking your network and GPS settings.
Push Alerts Are Not Working
- Open Profile and confirm phone/browser push is on for this device.
- Confirm the relevant optional notification category is enabled.
- If permission is blocked, enable notifications for the app in browser or device settings.
- Some browsers do not support push; in-app and email notification choices can still apply.
