User Guide

1. Getting Started

The Westemeier Invitational Golf App is the central place to register for the tournament, complete payment, check in on tournament day, enter scores, follow leaderboards, view course information, upload media, and keep up with tournament updates.

Create an Account

  1. Open the app in your browser or installed app.
  2. Select Sign Up.
  3. Enter your first name, last name, email address, phone number, and password. Phone numbers must include at least 10 digits.
  4. Submit the form and sign in with the account you created.
Google sign-in users: You can also sign in with Google. Google does not always provide a phone number, so the app may ask you to complete your first name, last name, email, and phone number after sign-in. These details help organizers contact you about registration, payment, tee times, and tournament-day updates.
Password recovery: From the sign-in screen, enter your account email address in the email field, then choose Forgot your password?. Check your inbox and spam folder for the reset email. If you sign in with Google, reset your password through your Google account instead.

Sign In

  1. Open the app.
  2. Enter your email address and password, or choose Google sign-in if that is how you created the account.
  3. Select Sign In or complete the Google sign-in prompt.

After signing in, you will land on the dashboard overview for the current tournament.

2. Dashboard and Navigation

The Overview page is your main dashboard home. Use it as the starting point for registration, payment, check-in, scorecards, tournament details, and help.

Use the Overview page as your starting point. It shows your registration status, payment status, check-in access, scorecard access, activity, tournament details, and the most important next action for your account.

3. Overview

The Overview page is the dashboard home for the tournament. It changes based on the tournament schedule, your registration, your payment state, and whether it is tournament day.

What You May See

  • Registration closed or not open yet: The page shows when registration opens or that registration is unavailable.
  • Not registered: You can start registration when registration is open.
  • Registered but unpaid: You can complete payment from the tournament information card.
  • Paid and tournament day: You can check in once check-in opens.
  • Checked in and tournament day: Your scorecard appears when you are eligible to score.
  • Tournament concluded: The app shows concluded tournament messaging after the event has passed.

User Guide Shortcut

A shortcut to this user guide appears near the top of the Overview page so players can quickly review registration, payment, scoring, map, and troubleshooting instructions without hunting through navigation.

Tournament Info Card

The tournament info card shows the current event, event date, location, registration status, payment status, and available actions such as Register Now, Complete Payment, or Check In Now.

Photos, Videos, and AI Golf Pro

The Overview page also includes tournament photo and video uploads for the active tournament, plus the AI Golf Pro assistant for hole-specific strategy and golf questions.

4. Registration and Payments

Registration is available from the Overview page when the tournament is open for signups.

Registration Types

Individual Stroke Play

Register yourself for the individual scoring pool. Your scores are tracked separately from team play.

4-Person Best Shot

Register for team play. You can add up to three additional players as existing app users or guests by name. A full four-player registration creates an automatic team name; smaller groups may remain pending team assignment.

Spectator

Register to attend without playing. Spectator registrations do not receive scorecards and cannot include additional players.

App account vs. tournament registration: App users keep their accounts year after year. A tournament registration is separate and applies only to the selected tournament. If a teammate already has an app account, add them as an App User so their tournament registration links to their existing account. Use Guest only for players who do not have an app account yet.

Picnic Add-On

If the picnic option is available, you can add picnic meals during registration. For player registrations, the picnic selection applies to everyone included in that registration. For spectator registration, the quantity is one.

Hole Sponsorship Add-On

If you want to sponsor a hole, choose Add a hole sponsorship? during registration. Sponsorship payment and logo details are included in the same checkout as tournament registration and picnic passes.

  • Choose whether the sponsor is a new sponsor or a returning sponsor. The app shows the configured price for each option.
  • Enter the business, family, or sponsor name that should appear with the sponsorship.
  • Upload a sponsor logo now, or choose Upload Later if you do not have it ready.
  • A high-quality JPG or PNG, such as a 2K or 4K image, will look best. Sponsor logo uploads can be up to 20 MB.

Payment Options

  • Online payment: The app checks the registration form before opening online checkout. Registration entry, picnic passes, and hole sponsorships can be paid together. After payment, the registration is finalized in the app.
  • Cash or check: Your registration and any selected sponsorship are recorded with payment pending. A tournament committee member must mark the balance paid after receiving payment.
Online payment note: Do not close the payment window while checkout is processing. If you paid but the app still shows unpaid after a short wait, contact the tournament committee with your registration details.

Completing Payment Later

If you registered but still owe payment, return to the Overview page and choose Complete Payment from the tournament information card.

5. Tournament Day

Check-In

On tournament day, paid players can check in from the Overview page. Check-in opens early in the morning and remains available through the event day.

  1. Open the Overview page.
  2. Confirm your registration shows as paid.
  3. Select Check In Now when the check-in action appears.
  4. Wait for confirmation that your check-in was recorded.

Scorecard Access

  • Individual Stroke Play: You receive an individual scorecard.
  • 4-Person Best Shot: Your team shares one team scorecard. Any team member can enter scores.
  • Pending team assignment: Best-shot players who are not assigned to a team yet will not have a team scorecard. Contact an organizer.
  • Spectator: Spectator registrations do not receive a scorecard.

Entering Scores

  1. Open the scorecard from the Overview page.
  2. Select the current hole.
  3. Enter the score for that hole. Scores from 1 through 15 are accepted.
  4. Confirm the score for the hole.
  5. Continue until all 18 holes are complete.
  6. Submit the final scorecard after reviewing all holes.
Final submission: Once a scorecard is submitted, it cannot be changed from the player scorecard. Contact tournament staff if a submitted score needs correction.

Confirmed hole scores are locked in the scorecard view. The submitted scorecard is used for leaderboard results.

6. Leaderboard

The leaderboard separates team play and individual play because those scoring pools are judged separately.

Team and individual leaders are separate. Team scorecards appear in the Team Play pool. Individual stroke-play scorecards appear in the Individual Play pool.

Leaderboard Tabs

  • Team Play: Shows best-shot teams, overall team leaders, and team flight standings.
  • Individual Play: Shows individual stroke-play golfers, overall individual leaders, and individual flight standings.

How Results Are Organized

  • Overall tournament leaders are shown for the selected pool.
  • Flight standings are shown within the selected pool when flight data is available.
  • Team scorecards are grouped by team.
  • Individual scorecards are grouped by individual registration.
  • Final rankings are based on submitted scorecards.

Refreshing Results

The leaderboard updates as scorecards are saved and submitted. If the standings look stale, refresh the page or reopen the Leaderboard section.

7. Roster, Course Tools, and Maps

Tournament Roster

The roster shows registered players, teams, assignments, and tournament participation details when available. It is useful for confirming who is playing, who is on a team, and which registrations are pending assignment. The roster includes separate views for players and teams, individual play, and all golfers.

Course Info

Course Info contains tournament course details, hole information, and course-related notes provided by the tournament organizers.

Yardage Map

The Yardage Map provides hole-by-hole yardage and visual course reference information for players.

Player Map

The Player Map shows live player locations when registered tournament participants choose to share their GPS location. Select Share My Location, allow the browser location prompt, and keep the app open while sharing. The app may show location accuracy, heading, speed, live, stale, or offline status when your device provides that data.

Location privacy: Location sharing is opt-in. When enabled, registered tournament participants who can view the Player Map may see your shared course location. Select Stop Sharing to remove your live location from the map.

9. Watch Sync

Watch Sync supports Android phone and Wear OS companion workflows for users with compatible devices.

What Watch Sync Can Do

  • Send sign-in or session handoff information from the Android app to a paired Wear OS watch.
  • Show recent watch sessions when available.
  • Display supported golf or activity metrics such as tempo, swing speed, heart rate, and sensor readings when the watch records them.

Manual Watch Login

If automatic handoff is unavailable, use the watch login flow shown by the app. Follow the code or approval instructions on both devices.

Watch features require compatible hardware, the Android app environment, correct permissions, and a paired watch. Browser-only users may see limited watch functionality.

10. Sponsors, Story, FAQ, and Contact

Hole Sponsors

The Hole Sponsors page highlights sponsors for the tournament holes. Sponsor logos, messages, or notes appear when they have been provided by organizers. Users who add a hole sponsorship during registration can upload a logo during checkout or mark it for later upload.

Our Story

The Our Story page shares the background and meaning behind the tournament.

Archives

Archives provide access to historical tournament information and past event materials when available.

FAQ

The FAQ page answers common questions about registration, payment, tournament day, scorekeeping, and app usage.

Contact

Use the Contact page for help with registration, payment, scoring corrections, account issues, or general tournament questions. To report an app bug, use the dashboard footer link or email shepherdchris88@gmail.com.

Survey

The Survey page lets participants provide feedback when a survey is open.

11. Alerts and App Install

In-App Notifications

The notification menu shows tournament updates, reminders, and other messages sent through the app.

Push Notifications

When supported by your browser or installed app, you may see an Enable Tournament Alerts prompt shortly after signing in. Enable alerts to receive weather, schedule, scorecard, and tournament updates on that device. If you choose Not Now, you can continue using the app without alerts.

Popup Announcements

If an announcement appears when you open the app, read it and use Next or Got It to continue.

Installing the App

The app can be installed on supported devices from the browser install prompt or by using your browser's Add to Home Screen option. Installed mode makes the app easier to open during tournament day.

12. Profile and Account

Your Profile page contains your account information and user preferences.

Profile Details

  • Review your first name, last name, email address, and phone number.
  • First name and last name are required. Phone numbers must include at least 10 digits.
  • Update available profile fields when editing is enabled.
  • Upload or change your profile photo if you want other players and organizers to recognize you more easily.
  • Review account or tournament-related status information.
Incomplete profile reminders: If your account is missing a usable first and last name, email address, or phone number, the app may show a profile reminder until those details are completed.

Preferences

Depending on your account and device, preferences may include notification settings, communication options, and other app settings.

Signing Out

Use the account menu to sign out when you are finished, especially on a shared device.

13. Troubleshooting

I Cannot Sign In

  • Confirm you are using the correct email address.
  • Use the password reset link from the sign-in page.
  • Check your spam or junk folder for the reset email.

I Cannot Register

  • Registration may not be open yet.
  • The tournament may be full or closed.
  • Your form may be missing required player or guest information.
  • Spectator registrations cannot include additional players.

Payment Did Not Update

  • Wait a moment and refresh the Overview page.
  • Check whether you selected online payment or cash/check.
  • For cash/check, payment remains pending until staff marks it paid.
  • If an online payment was completed but still does not show, contact the tournament committee.

I Do Not See My Scorecard

  • Scorecards appear on tournament day for eligible checked-in players.
  • Individual stroke-play golfers receive individual scorecards.
  • Best-shot players need a team assignment before the team scorecard is available.
  • Spectators do not receive scorecards.

The Leaderboard Looks Wrong

  • Make sure you are viewing the correct pool: Team Play or Individual Play.
  • Refresh the page to load the latest score updates.
  • Unsubmitted or corrected scorecards may not be reflected as final standings until staff review is complete.

Gallery Uploads Are Failing

  • Check your network connection.
  • Confirm you are signed in.
  • Allow camera or file permissions when your device asks.
  • Try uploading fewer files at once if the upload is large.

My Profile Reminder Will Not Clear

  • Open Profile from the account area.
  • Make sure first name, last name, email, and phone number are filled in.
  • Phone numbers need at least 10 digits. Formatting such as spaces, dashes, or parentheses is okay.
  • Save the profile, then refresh if the reminder is still visible.

Player Map Location Sharing Is Not Working

  • Confirm you are signed in and registered for the active tournament.
  • Allow location permission when your browser asks.
  • Keep the app open while sharing so your device can continue sending updates.
  • If your marker looks stale or offline, stop sharing and start again after checking your network and GPS settings.

Reporting Bugs

Use the dashboard footer bug-report link or email shepherdchris88@gmail.com. Include what page you were on, what you clicked, what you expected, and what happened instead.

Watch Sync Is Not Working

  • Confirm your watch is paired with your Android device.
  • Make sure the companion app is installed and signed in.
  • Check Bluetooth and nearby device permissions.
  • Use the manual watch login flow if automatic handoff is unavailable.

14. Quick Reference

Common Actions

  • Home Open Overview for registration, payment, check-in, and scorecard actions.
  • Register Choose Individual Stroke Play, 4-Person Best Shot, or Spectator when registration is open.
  • Pay Use online payment or choose cash/check if that option is available.
  • Sponsor Add a hole sponsorship during registration, choose new or returning sponsor, and upload a logo now or later.
